Office Fire Safety Checklist 2026: 25 Points Every Facility Manager Should Check

Updated: November 2026 2 min readBy the Vinsafe fire safety team

In short: A practical 25-point office fire safety checklist covering extinguishers, alarms, exits, electricals, training and records.

Most office fires start small: an overloaded socket, a pantry appliance, a heater left on. Whether the fire stays small depends on what you checked last month. Use this checklist every month and before any audit.

Extinguishers

  • 1. Correct type for each area (ABC, CO2, clean agent, kitchen)
  • 2. Within about 15 m travel distance from any point
  • 3. Mounted, visible and unobstructed, with signage
  • 4. Pressure in the green zone, pin and seal intact
  • 5. Service tag up to date; hydro test not overdue
  • 6. ISI mark present on every unit

Detection and alarm

  • 7. Smoke detectors in every room, corridor and false-ceiling void where required
  • 8. Heat detectors in pantries and plant rooms
  • 9. Manual call points near exits, unobstructed
  • 10. Fire alarm panel shows normal, no faults or disabled zones
  • 11. Sounders audible in every area, including washrooms and meeting rooms

Exits and evacuation

  • 12. Exit routes clear of boxes, furniture and storage
  • 13. Exit doors unlocked from inside during working hours
  • 14. Emergency lighting working (test by switching off mains)
  • 15. Exit signs lit or photoluminescent and visible
  • 16. Evacuation plan displayed on each floor
  • 17. Evacuation chair or plan for people with mobility needs

Electrical and housekeeping

  • 18. No overloaded sockets or daisy-chained extension boards
  • 19. Electrical panels closed, labelled, with clear space in front
  • 20. No combustible storage in electrical or server rooms
  • 21. Pantry appliances switched off after hours

People and records

  • 22. Fire wardens appointed and trained for each floor
  • 23. Mock drill carried out and recorded
  • 24. Staff know how to use an extinguisher (PASS method)
  • 25. Maintenance register and certificates filed and up to date

Turn the checklist into a routine

Assign an owner for each section, set a monthly date and keep a signed copy. Better still, include these checks in your fire safety AMC so a trained technician does them and hands you the report.
